Operations Manager - Medications Team

Salary: From £40,000 - £45,000 per annum (depending on experience)
Workpattern: Full time, Monday - Friday - 40 hours per week.

ProblemShared has created strong partnerships servicing several NHS, university, and insurer contracts to deliver high quality ADHD and Autism assessments as well as assessments for learning differences. We offer wrap-around care in the form of psychoeducation, prescribing, educational navigation, and therapy sessions all under one roof.
About the role
The Operations Manager is responsible for the operational delivery of the medication pathway and provides team leadership and process development to ensure the smooth running of the service in line with business targets on wait time, clinical utilisation and client experience. This is a new role within our Medications team structure.
You will
Oversee the flow of clients through the medication pathway, ensuring that all client queries are
responded to and relevant client actions are completed in line with pathway SLAs to ensure the best possible client experience
Continually review and improve processes to ensure that we are delivering/scaling the service as
efficiently as possible with the resources/tools available
Own the session booking process ensuring that clinical utilisation (% of booked sessions versus
available sessions) and client wait time is in line with pathway targets
Compile and evolve data reporting to understand the performance of the pathway, conducting
analysis to highlight trends that lead to underperformance and identify future bottlenecks ahead of time
Build a strong and agile partnership with relevant clinical team members to ensure an effective and
efficient holistic service delivery
Manage a team of Ops-Coordinators (including client and pathway coordinators), Seniors and Team
Leads day to day people management, fostering team morale and identify development opportunities; and review productivity and efficiency, addressing performance issues where needed
Support with capacity modelling to help senior management make informed decisions when planning pathway growth and development and resourcing requirements (clinical and operational)
Collaborate with relevant stakeholders to troubleshoot issues, drive project initiatives and act as an operational voice to help propose, scope and implement process and system improvements
Work with relevant partners to provide operational support and optimise specific processes to build a successful partnership
What we are looking for
Must haves
Proven experience in service delivery – knowledgeable in running efficient and effective operations, and can confidently improve processes to help businesses grow at scale whilst maintaining client experience
Confident in data reporting and analysis to track performance, spot problems before they happen,
and make informed decisions (proficiency with Excel is required)
Experienced people manager who can lead, coach, and develop team members
Effective communication, influencing and collaboration skills – able to foster cross-department relationships and successfully drive change within the team
Self-starter with good communication skills who tackles problems head-on
Can bring a positive and confident approach that fits our fast-paced environment
